Planning a birthday at ZHARA: when to invite your group

Plan birthday invitations for a 21+ evening at ZHARA in Bishkek: what to tell guests before and after details are confirmed, and when plans change.

Planning a birthday evening at ZHARA, a show club in Bishkek for guests aged 21 and over? You may know the date long before you know the final meeting time or group size. Keep your group's plans separate from the details the club has confirmed. An invitation should not turn an unanswered question into a promise.

Use the timeline below for your own group; these are not ZHARA deadlines. In your first invitation, name the venue and its 21+ format clearly. Ask whether that setting works for the people you hope to invite before you finalise the plan.

An invitation timeline you can adapt

Choose your own dates for each step. If the club has not answered a question, keep that part of the invitation provisional.

From the first invitation to the final update
Stage Your date What the organiser does What guests can be told
Before the first invitation ________ Check that the person you are celebrating is comfortable with the venue. Choose one or two possible dates and estimate the group size. Say it is a birthday evening at a 21+ show club. Give possible dates, not an unconfirmed meeting time.
After the club replies ________ Note exactly which date and arrangements the club has confirmed. Keep unanswered questions separate. Share the venue and time only to the extent they have been agreed. Mark anything else as provisional.
Before your RSVP deadline ________ Collect replies, set your own deadline for a final headcount and tell the club if the number changes. Tell guests when and how to reply to you. A headcount agreed within your group is not a booking confirmation from the club.
Before the meeting ________ Check whether the time or group size has changed. Ask the club about any material change and wait for its reply. Send the published address, the confirmed meeting time and the visiting rules.
If plans change on the day ________ Tell the club what changed. Do not assume the earlier arrangements automatically cover a different plan. Send one clear update after the changed point has been clarified.

Keep this worksheet to dates, numbers and the status of each answer; it does not need guests' names or phone numbers. Sending an enquiry is not the same as receiving a confirmation. The birthday visit page (in Russian) explains how to contact the club and what to include in your enquiry.

Three messages you can adapt

1. When the date is still provisional

We're thinking of celebrating on [date or two possible dates] at ZHARA, a 21+ show club in Bishkek. Would the date and venue work for you? Please let me know by [your RSVP date]. I'll send the meeting time once the details have been agreed with the club.

This tells guests what kind of evening you are considering without suggesting the club has already accepted the group.

2. Once the key details are confirmed

We're meeting on [date] at [confirmed time] at ZHARA, Baytik Baatyr St 86, Bishkek. Please tell me by [your RSVP date] if you can make it. If your plans change, message me so I can update the group size with the club.

Use the published address and a time the club has confirmed. Do not add an unconfirmed programme, table arrangement or price to the invitation.

3. If something changes

Update: [what changed]. [The detail still being checked] is provisional. I'll send a final message once the club replies.

You do not need to forward the whole conversation with the club to everyone in the group.

Before you send the final invitation

Give guests one current version: the address, the agreed meeting time, a way to reach you if their plans change, and the visiting rules (in Russian). ZHARA's entrance conditions are 21+ · Selective entry · Dress code; admission is decided at the door, including for guests with a confirmed booking. An invitation cannot override those rules. Do not post someone else's personal details in a group chat or promise an arrangement the club has not confirmed.

If the plan is still open, ask about your preferred date, approximate arrival time, group size and any questions you need answered. You can discuss a birthday visit with the ZHARA team. An enquiry is not a confirmed booking. Other published guides are listed in the ZHARA blog (in Russian).
