An agency brief for a group visit to ZHARA

Arranging an evening for an adult group in Bishkek? A useful first note to the venue says what you know, what remains open and who can answer on behalf of the group. It does not promise your client a programme or reservation before the club confirms one.

ZHARA is at Baytik Baatyr St 86 and opens daily from 22:00 to 07:00. Guests must be 21 or over; selective entry and a dress code apply. Ask the administrator about the programme and visit conditions for your chosen date. This is a guide to making an enquiry, not a list of agreed terms.

Name the purpose of your enquiry

A group visit and a partnership proposal need different answers. For a visit, supply the date, approximate arrival time and group size. For a partnership, identify your organisation or role and describe the proposal briefly. If both matter, separate the questions so the venue can respond to each.

The five-line agency brief

  • Purpose. A group visit, a private format for discussion, or a partnership idea. Any private format is subject to individual agreement.
  • Date and arrival time. Give the preferred evening and any alternatives separately.
  • Group size. An estimate or range is enough while plans are changing. Tell your organiser about the 21+ rule before invitations go out.
  • Group priorities. A stage-show evening, time together, or a question about another format. These are preferences, not a confirmed running order.
  • One point of contact. Your agency or role, a coordinator's name and a reply channel. The first enquiry does not need a guest list, private phone numbers or identity documents.

A first-message template

Hello. We are arranging a visit to ZHARA for an adult group. Our provisional details are [date], [arrival time] and [approximate number of guests aged 21+]. The group would value [one or two priorities]. Could we discuss a visit on that date and the conditions to clarify before we make a proposal to the client? Agency contact: [organisation or role, name, reply channel].

For a partnership enquiry rather than a visit, replace the opening with a concise description of the proposal.

Keep three states separate after the reply

Asked: the question has been sent. Under discussion: an option exists but date or conditions remain open. Confirmed: the administrator explicitly agreed that point for that date. Send your client only the confirmed version, and note when the answer arrived. If the size, time or format changes, ask whether the earlier terms still apply. Submitting a form is not a confirmed booking.

Keep personal detail inside the agency. Participants' phone numbers, documents, individual preferences and your internal budget are not needed in the public contact form. Discuss photography and publication separately: archive images on the website do not grant permission to photograph guests at a new event.

Before you make a client-facing proposal

Ask the administrator about availability, entry and seating conditions, the current stage programme and how special requests would be assessed. Do not copy an old poster, a third-party price screenshot or an unverified performer count into a new proposal. Guests can receive the address, opening hours and 21+ visiting rules now; share other details after the venue has answered.

The group-visits and partnerships page explains how to contact the club. The administrator can discuss details; an enquiry alone is not a reservation.
