A budget worksheet for a group night out

Planning a group visit to ZHARA, a strip and show club in Bishkek, with everyone aged 21 or over? Before anyone quotes a cost per person, write down which amounts have actually been checked and who has agreed to share each item. This worksheet is for your group's own planning. It is not a club price list or a guide to paying the venue; ask the administrator what applies to your date.

Unknown, tentative, checked

UnknownNo answer yet. Do not enter zero for an amount you do not know.
TentativeAn estimate or an earlier answer that still needs checking for your plan.
CheckedThe relevant source gave you an amount for your plan and date, and you recorded when you asked.

For ZHARA visiting arrangements, check with the administrator for your chosen date. An old screenshot does not become current because it has been copied into a worksheet. The status of an amount and the group's decision to share it are separate. Even a checked amount is not shared until the people concerned agree; an unknown amount remains a question, not a free item.

Shared or personal?

A shared item is one the participants themselves agree to split. A personal item belongs to an individual's choice; do not spread it across the group. For each shared line, note the number of people who agreed to share that line, not simply the number invited or attending. The number can differ from one line to another.

You do not need names, phone numbers or ID details in this sheet. Record the item, amount status, source and date of the answer, currency, whether it is shared or personal, and the number who agreed to a shared item. Keep individual decisions in the group chat, not in the worksheet.

Copy a blank line

Copy this card into a note of your own, then repeat it for each item. It is not a form that sends information to ZHARA.

One worksheet line

Item
[what the group is discussing]
Amount status
[unknown / tentative / checked]
Amount and currency
[value and currency / unknown]
Source and date of answer
[where you got the figure and when / no answer yet]
Type
[shared / personal]
People who agreed to share this item
[number / not decided]

An empty amount, missing answer or undecided number of participants cannot produce a final share. Leave it open instead of telling the group a per-person figure. If the date or plan changes, check whether an earlier answer still applies; mark an outdated answer as such and replace it only when you have a new one.

Work out your share

If the same people have agreed to every checked shared item, add those amounts in one currency (C) and divide by the number who agreed (N, greater than zero):

share = C / N

Personal items are not part of C. If the participants vary by item, calculate each shared line separately: line amount / number who agreed to that line. Add only the shares of lines you agreed to join. Do not add different currencies without a separately agreed conversion; this worksheet does not set an exchange rate.

If an important shared amount or its participant count is still unknown, the final total remains unknown. You may show a subtotal of checked lines, clearly labelled as a subtotal, not the final cost of the evening. These calculations describe an agreement within your group; they say nothing about how or to whom the venue is paid.

Before you send the numbers to the group

Check three things: do the answers apply to your plan and date; did each participant agree to the lines assigned to them; and are open questions still marked “unknown”? If the group size changes, recalculate the affected lines and check agreement again.

For the decisions around date, group size and unanswered questions, use the group night out planning worksheet. Before visiting, share ZHARA's visiting rules for guests aged 21+. Ask the administrator about conditions for your date on WhatsApp; an enquiry is not a confirmed booking. More English guides are in the ZHARA blog. This article is also available in Russian.
